In the previous two Salesforce Report Permissions blog posts, we learned about Report Permissions and what abilities the various permissions grant to users. Today, we’ll continue to learn about report permissions with illustrations of the actions users are able to perform when they are granted additional permissions.
Overview
As in the previous report permission blog posts, please note that as we move down the list of permissions below, each previous permission will still be granted to the user. (Ex: when discussing the ‘Manage Reports in Public Folders’ permission, the respective user will still have the previous ‘Export Reports’ permission granted.)
The example user has already been granted the following permissions as well as View access to the ‘Opportunity Reports’ Report Folder and the ‘Opportunities Dashboards’ Dashboard Folder.
- Run Reports
- Create and Customize Reports
- Create Report Folders
- Edit My Reports
To update report permissions, modify the System Permissions at the profile level, or create a Permission Set and assign it to individual users or groups.
The Salesforce report permissions we will cover today are:
- Export Reports
- Manage Reports in Public Folders
- Manage All Private Reports and Dashboards
Export Reports
Use Export Details and Printable View to export reports.
Prerequisite permissions:
- Run Reports
When the ‘Export Reports’ permission is granted to users, they are able to see an Export button on reports that they have access to and can export report information as a CSV or Excel file.
Manage Reports in Public Folders
Create, edit, delete reports, and manage their sharing in all public folders.
Prerequisite permissions:
- Run Reports
- Create and Customize Reports
- View Reports in Public Folders
- This Salesforce report folder permission is not covered in the Report Permissions blog posts since users already get Viewer access to report and dashboard folders with enhanced folder sharing. Read more about it here.
- Create Report Folders
- Edit My Reports
With the ‘Manage Reports in Public Folders’ Salesforce permission, users can overwrite and save edits to reports in public folders that were created by other users.
They can also delete, and move reports created by other users in public folders.
Manage All Private Reports and Dashboards
Allows full access to reports and dashboards in all other users’ private folders (API only.)
Prerequisite permissions:
- N/A
The ‘Manage All Private Reports and Dashboards’ permission is a little different than other report permissions. This permission is an API only permission and does not grant additional accessibility or actions through the user interface.
This permission is mainly for Admins so that they can query and clean up antiquated reports in users’ private folders that are no longer being used.
